Best Online Business Management Software

Overall, though I love the ease and the benefits that I get from the program and I wouldn’t trade it to go back down to paper and pen to manage this company

The fact that it gives me all the benefits and features of a regular business management software program while not having to pay or have the computer space to have the entire QuickBooks program I love the fact that I can also log on computers because I only need a And There all my files are backed up on it

CONS

I hate the fact that I’m at Jeopardy to Have all my files erased or compromised

SOso could be much better, and cost less

Overall, I would rate QuickBooks Online 3 out of 5 stars. It's a good option for small businesses looking for basic accounting features, but it may not be the best fit for those needing more advanced customization and reporting capabilities.

PROS

Intuit QuickBooks Online is a solid accounting software that offers a range of features for small businesses. What I liked most about QuickBooks Online is its user-friendly interface and easy navigation. It made it simple for me to manage my business finances and track expenses.

CONS

One of the main drawbacks for me was the pricing, a bit on the higher side compared to some other accounting software options available.

Gold-standard 1-stop solution to ease small-mid sized businesses into online accounting and grow with integrations as needed

Overall, I would give QBO a 9 out of 10. If support were beefed up, I would give it a 10 out of 10.

PROS

It was fairly easy to transition from a home-grown Excel- based accounting system to QuickBooks Online with the help of an expert. She was also able to integrate autopay [via ConnectBooster] and auto task [ticketing]. The latter feeds directly into QBO and as such, makes month-end invoicing so much easier. The level of automation enabled through these 3 solutions, all integrated in QBO], has reduced month-end invoicing from a solid week to literally 30 minutes each month. This is followed by a QC review and then boom, invoicing. Clients appreciate the accuracy and ability to pay directly, via ACH, credit card, or check.

CONS

Support leaves a little to be desired. On the few occasions that I had to call, the solution was not forthcoming. Not sure if this is because we were working with a minimally-trained support staff. It would be extremely helpful to have the option of requesting escalation to a Tier 2 or Tier 3 engineer who can identify the issue expediently and navigate through solution/resolution.

Easier and faster to implement; fewer barriers to adoption. Most of all, integrations with other tools which allow us to automate as much as possible and reduce labor and associated cost.

Reasons for switching to QuickBooks Online

The home-grown system was not scalable and was taking too much time. Further development would have meant additional development dollars. That would still not have addressed the amount of time to invoice each month. Hence the decision was obvious: switch to a system which scaled with our needs and had options for integration with our software/productivity/accounting stack.

Quickbook - Good to Use

my overall experience is good with Quickbooks online. With Quickbooks able to do many automated task, got valuable insights. It is a reliable software and easy to use.

Functional Product but innovation is stagnating

We liked QuickBooks Online more when we first chose them as opposed to homegrown systems we had. Over time, the software has not been improved.

Costs continue to increase while functionality seems to have plateaued.

But overall experience with QuickBooks has been excellent I love the entire software and how it's set up and how it makes managing your business and finances easy and seamless.

Great tool packed with features

Overall it’s a great tool to use. They also run promotional offers for annual subscription which saves $$.

PROS

We appreciate how simple it is to begin an accounting journal entry for any new entities, each of which is regarded as having its own balance sheet. It offers a wide range of readily available and configurable features. QB is connected to factoring accounts in North America and to the majority of baking APIs. extremely reasonable prices for all use cases and business sizes.

CONS

Accounting ledger customisation is challenging. An audit log that tracks time and location is useful for monitoring contractor activity. It would be fantastic if GAAP/IFRS forms needed for securities reporting and auditing were already preconfigured. Errors occur during synchronisation if resource tracking tools such as inventory or fleet management systems do not have stable connectivity. In order to prevent duplicate partners in the system, precise instructions are required for project accounting.

QBO Advanced

One of the best accounting software with some added features. The online advanced version has been getting somewhat frequent updates, sometimes it's just cosmetic though versus the needed updates. When we work in larger invoices/estimates, the software seems to have an incredible lag (i troubleshot all our hardware, it's on the QBO side) One good side note pertaining to this, I've been able to get in touch with some of the QBO team that is closer to the development side that has helped me. Customer service used to be horrible and has gotten better if you just go through the standard channels. If you get connected with the development and feedback team you're better off. QBO Advanced does have priority circle with your own contact, and depending on the person you get that can be a great asset to you. My current one is amazing. So overall good enough to stay with QBO, but always looking to see what's out there to see if it's a better fit.

Would recommend for anyone who is overwhelmed with by their accounting process

Has been so nice to get organized and have everything in one place. It really helped to analyze and get controls on spending, collecting receivables, and putting out monthly profit and loss statements.

PROS

The best feature for our company was the bank interface. All our expenses on all bank accounts and credit cards are all downloaded automatically. Even better is you can train this process using rules so that recurring transactions can be classified immediately resulting in little to no work on the user part. Reconciliation is nearly done at the end of the month as any transaction that is entered through the connection to the bank is automatically checked and matched for reconciliation. Tracking vendors for year end 1099 forms is also a great feature we use annually.

CONS

Cons are that if you do not the rules of accounting and are a small business owner with a tight budget and cannot an accountant, you really need to do your homework on what and when to do certain processes like turning the year over. Sometimes the software can run a little heavy on our computer, but there is an installable version you can put on your computer to resolve the issue. The help topics have not been much of a help. I usually refer to google searches as opposed to the topic center included in the software.

We ultimately chose Quickbooks for its brand recognition and excellent online reviews. Internet based operations was also a very attractive feature.

We switched because we were using a system to record transactions was antiquated and prone to human error upon entry not to mention the data entry process was very time consuming. We also needed everything all in one place to be a more effective strategy.

20+ year user of Qucikbooks

Overall I'm happy with QB's online, we save a lot of time as I mentioned before on data entry. I just don't pout my really compicated clients in the software, I keep them in desktop.

PROS

I love how quickly the data entry goes in QB's online versus QB's desktop. With rules and auto entries it take the tedious parts of accounting and automates them. I'm able to focus my time on more complicated items that add value to my serives to my clients.

CONS

It still needs a lot of work on the developement of the software. You are unable ot customize PO's, which is insane to me. It's a little hard to get used to when coming from their sister product desktop. Desktop is so rubust and had very little flaws that I somtimes find myself banging my head gainst a wall, like why?!! Also, the subscription based pricing makes it so you always have ot pay for the software. With desktop I bought it once and none of my clients had to pay for it. Way to make money intuit, now but that money back into the developement of the software!

Quickbooks Online Review

Overall it is an excellent product. We choose to use a CPA firm that specializes in QBO so that they could help us with set up and transfer of information. Relying on QBO customer experience can be frustrating including long wait times for someone to answer and then the person who does is searching for the answer to your problem online. Once you become proficient with QBO, the ease and time saving factors are worth the initial frustrations.

PROS

Ease of use. Your CPA can make changes in real time. Handles payroll, invoicing, accounts receivable, accounts payable. Ease of creating budgets, knowing your cash flow projections, updates in real time with checking accounts, credit card statements, syncs with approved apps like TSheets. App on your phone so you are always connected.

CONS

Going from Desktop to QBO you will loose some features. But once you streamline and make the change, it is worth it. There are some oddities; for example an expense for gas may show up as meals and entertainment, but you can easily manually change it. When we first switched from Desktop to QBO, QBO could not transfer all information so we had to start from scratch and keep our desktop information - double paying QuickBooks.

QuickBooks is a great remote accounting solution

QuickBooks Online has been crucial in our company's expansion because it allows for several individuals to view the data at once. When we were still using the desktop client, we had to be extra vigilant about who was making changes and at what times. The following day, you can find that everything you've done has been completely overwritten. We've got that sorted up now thanks to QB Online.

PROS

It's great that we can sign in from any of our devices, wherever in the world. The ability to collaborate in the software at the same time without accidentally erasing one another's changes has been crucial to our development.

CONS

The only drawback, in my opinion, is that it is available exclusively online. If you don't have internet access, or if your connection is unreliable, you might as well be out of luck. At times, the system appears to be slow, but this isn't a problem we can't solve.

Giving me the freedom to work from anywhere and giving me a means to collaborate with my clients even when I'm not in the office. It paves the way for new channels of contact between us.

Tradegecko is great software and always getting better

Overall it solves most of the business issues and overall we're happy with the product and with Tradegecko

PROS

Ease of use, integrations, API, user interface, company responsiveness to build features if I made a solid case for lacking functionality, customization of documents, Tradegecko connect workflow builder, aesthetic, simplicity, etc.

CONS

Some of the (new) reporting functions, lack of features like credit limits, no dropdowns in custom fields, Tradegecko connect is stagnant and no new workflow options being added we need more triggers and flow options) , inability to add custom attributes by category, lack of flexibility in creating packsizes (it's only possible to enter a single unit and create a packsize my multiplying it but it's impossible to add a case and break it up to units (wholesalers typically buy and sell by the case and occasionally break up cases), the way packsizes appear in reports ('case' vs the SKU #), the lack of synchronization between POs and items (it requires a item to be MANUALLY linked linked to a PO) and if PO is not linked to a backordered item, any backordered sales order will not be AUTOMATICALLY linked to a PO (a list of possible POs appear even for FULLFILLED items!), limited filtering on options in the inventory area it would be nice to have options like 'does not have this tag' etc), see history for product bundles (formerly composite variants) and not only the history for the actual bundled variant SKU, one has to click on fulfill orders to see still unfulfilled items on a sales order and can't see it on the sales order, it's impossible to see the associated orders that are committed, ordered but not fulfilled and shipped on a variant or product page (it doesn't show up on the history tab and it's not linkable from the committed information in the stock info area)

Almost flawless functionality

My experience with Quickbooks has been great overall. Have had a few glitches now and again, but (knock wood) it's been working fine for years now. I like the ability to search by client, to print various reports for clients, taxes, etc., and to easily keep track of client retainers. I have not used this software for billing, so I can't really give an opinion. I tried it out, but didn't have the patience to figure it out with respect to legal billing.

PROS

Quickbooks serves its purpose for me very well as banking software. It keeps track of the checkbook and prints professional-looking checks. I also use it for bookkeeping purposes come tax season by printing out expense reports to see all of my potential tax deductions. It is also pretty good with searching for specific transactions. I do make sure my client name is in the memo field, otherwise I have had trouble searching with other fields (probably "user-error"). It is great for keeping track of client funds, which is essential as an attorney who collects retainers from clients. Reports are also required for client funds/retainers, and they are easy to prepare and print with Quickbooks. Reports are a little complicated because there are so many to choose from, but once you know which ones are actually useful, they are great.

CONS

Intuit has been very clear that they will no longer support my version of Quickbooks. I had no need to update otherwise, so I am working with a version that I can no longer get any assistance with if anything goes wrong. Also, the back-up data files do not sync with my cloud software for some reason, so there is always an error message in that regard on my cloud software (which I cannot get any help with because I have an outdated version). The search engine is workable, but I have learned to put the client's name in the memo field for every transaction so I know how to get an accurate list of transactions for a client.

Reason for choosing QuickBooks Online

I don't remember why I choose Quickbooks over Quicken because it was so long ago (2006). My impression is that these programs are fairly comparable.

Quickbooks Organizes Our Church's Finances

QuickBooks has made the financial experience for our church so much easier. It's super easy to create reports for board meetings and see where you are financially.

PROS

I love how it connects to your bank account and transfers all of the transactions to it. Being able to categorize every transaction makes things so much easier. No need to type everything in manually! Reconciling is a breeze!

CONS

There's a huge learning curve for this software. However, they have great customer support. In the beginning, I had to stay on the phone with them for a long time to learn how to use it. Sometimes, customer support doesn't know how to use the software specifically for your needs, but they usually do a great job!

Leaving After 15 Years Of Use

I have been using Quickbooks for 15 years and honestly it was all great up until about a year ago. And the only reason I kept using Quickbooks was because I didn't feel like transferring all my data to another platform and the mobile app. However, now the mobile app doesn't even work so I never use it, I am having to talk to a representative every other time I use Quickbooks because something else is wrong, and now not only is the monthly fee going up again, I am now getting charged more for transaction processing, and there are more and more fees for just moving money around. Thankfully there is WaveApps and they are amazing. I have used them a LOT over the past year for my other businesses and they are amazing with excellent customer service and they are easy to get in touch with as well. The best part is they don't have a monthly subscription fee and their transaction processing fees are more reasonable. With an option like that, and now their website is mobile friendly, I don't see how it makes sense to keep with Quickbooks.

PROS

I love that I can manage my books, invoices, payments, etc. from any device. I loved that in theory everything was connected and easy to use (more on this in the cons), I love the wide support and the massive community that uses Quickbooks so it was possible to find help on issues I had (not easy, but possible). Plus, I had been using them for so long it was all familiar.

CONS

- The customer service is terrible (I've had 1 good rep out of the 10-20 I've had to talk to) - The app hardly works at all for me anymore, its always crashing, glitching, freezing, etc. - The connections barely work and need fixing all the time - The website is incredibly slow and also has a lot of bugs - By far the worst for me has been the Quickbooks Cash and merchant services. Fees have been going up, Quickbooks cash has been VERY slow and buggy, transfers have taken a week or more to process, customer service with that is TERRIBLE, just overall a very bad experience. - Now monthly fees are going up yet again - I've been getting charged more and more fees for moving money or even just trying to refund someone

Reason for choosing QuickBooks Online

Im switching to WaveApps. They have better customer service, no monthly fees, I can link all my companies together under 1 account, they are just as feature-full and easy to use as QB, they have amazing customer service, their processing fees are better, and they are even opening a checking account option like QB has.

It's an excellent accounting software

Despite these issues, QuickBooks Online remains a popular and highly regarded accounting software solution for small and medium-sized businesses, thanks to its powerful features, ease of use, and cloud-based platform that makes it easy to manage finances from anywhere.

PROS

Quickbooks Online allows us to create and send professional-looking invoices to our customers with ease. It also provides a range of tools for managing expenses, such as the ability to upload receipts and track expenses on the go using the mobile app. We can easily integrate with third-party applications, such as PayPal, Shopify, and Square, which allows us to easily integrate our financial data from these platforms into QuickBooks Online. This integration makes it much easier for us to manage our finances across multiple platforms, saving time and reducing errors.

CONS

Quickbooks Online can be slow and unresponsive at times, especially when dealing with large data sets or complex reports. This can lead to frustration and delays in getting important financial information.

Lesser of two evils

PROS

I am not an accounting professional but with a basic understanding of accounting principal, I have been able to use this software to organize my company for the last 10 years. I have made the switch in 2014 to the online version of it. It lets me to use the software anywhere including mobile device and I have been very happy with all the updates Intuit has been making last 3-4 years.

CONS

Everything about customer service. As a long time user, I know the infamous reputation of Intuit at every level. This is one of the SO MANY experiences I had: I had one issue that persisted since 2014. It was a simple issue, but it also caused me some great inconvenience. So I had been contacting them every now and then and the issue was not resolved until recently in 2018. It turned out to be it was as simple as clearing cache. However, every time I called, I had to explain the situation as if it's never been recorded, follow their instruction to do the troubleshooting, then they were puzzled how that happened, and then say that 'someone' will follow up. And THAT NEVER HAPPENED. I got so fed up and had to be on the phone more than 4 hours to a point that the issue was escalated to the presidents' office. I was told that there was a glitch in the system that I had to move to a new account. As they moved my data to a new account, I found out that it won't move credit card or social security info. As I was preparing for the final move, I realized that they have been charging me double. I requested to refund or extend the membership, but they did it again - made me wait for 1-2 hours, told me that I'll speak to a floor manager, then just transfer to another dpt- ALL THE TACTICS TO DISCOURAGE TO find the solution for the issue. Finally, they 'concluded' not to extend the membership with an excused made up they cannot provide in written permission. NEVER HAD SUCH BAD EXPERIENCE.

Poor Experience with Tradegecko

We started a small confectionery business in October 2014, and needed a system to keep track of sales, stock and finances. After reviewing several platforms, we settled with Shopify for the POS and web store, TradeGecko for the inventory management, and Xero for accounting. The idea was to integrate these platforms so a sale in the shop will flow through Shopify to Tradegecko, and then to Xero. At that time, Shopify could not link directly to Xero and could not calculate basic cost of goods sold for accounting purposes. We went for TradeGecko to overcome these issues, and because the front end of the software is very user friendly for keeping track of over 1000 SKUs. On paper, and if it all worked TradeGecko would be fantastic. In practice, there have been data synchronisation issues from the very beginning which TradeGecko has admitted they cannot fix. Our experience with their customer service has been very frustrating, and they now recommend that we leave TradeGecko for another system. We are therefore going through a painful and expensive process of migrating to Dear Systems, which we also use for another business and which has worked seamlessly. The synchronisation issues are straight forward and we have never understood why they cannot be resolved. Everyday, we have about 200-500 sales through our POS that flow through to TradeGecko via two Shopify accounts (amazingly Shopify POS only allows one shop per account, so we need two Shopify accounts for two shops). On some days everything then flows through to Xero fine, but far too often several sales will be missing. Because of this, our accountants have to spend between 15 minutes and 3-4 hours trying to manually reconcile the missing amounts between TradeGecko and Xero. This extra work has been costing us over US$1,000 per month alone. In addition, TradeGecko cannot as at the end of 2015 split out total amounts by payment methods. As a retail shop, we settle most of our transactions by cash, but also have credit cards, debit cards, contactless cards, etc. We have to manually download every transaction daily and use a pivot table in Excel to tie figures to our bank statements. This adds another half an hour of work a day. Having used Dear Systems and TradeGecko extensively for a period of time, I can say that we made the mistake of liking the look of TradeGecko over its function. Dear Systems has since also updated their user interface. We and our accountants have spoken and explained the situation to probably every single member of TradeGecko’s technical team over the past 15 months. The number of times we have repeated ourselves and chased for a response is absolutely unbelievable. We were promised fixes along the way, but eventually even TradeGecko has given up. We feel very disappointed and let down by TradeGecko, whose final solution was for us to either continue with our manual workarounds or migrate to another platform, which is also a big disruption for a small business like ours. We hope that other small business owners can avoid what we experienced. We have wasted a lot of time and energy on TradeGecko instead of focusing on our business. It is a stress that we did not need.
